Workflow Digitization Assessment

Ten questions about how one process actually runs today. No email required, nothing stored — the result is calculated in your browser and disappears when you close the tab.

Pick one process and answer for that process only. Averaging across everything you do produces an average nobody can act on. The most useful choice is usually the process that generates the most chasing.

01 If two people on your team described this process end to end, how alike would the two descriptions be?
02 When an exception comes up, what happens to it?
03 Where does the information enter the process?
04 How often does the same piece of information get entered more than once?
05 How does work reach the next person who needs to act on it?
06 How are approvals recorded?
07 Right now, can you say how many items are in progress and where each one is stuck?
08 When something is running late, how do you find out?
09 Does this process exchange data with your other systems — finance, HR, inventory, field operations?
10 If you needed to change one rule — an approval threshold, say — what would that take?

How the result is calculated

Every answer scores 0 to 3 across five dimensions. Nothing is sent anywhere — the arithmetic happens in your browser and the page forgets it when you leave.

0–9Paper-bound
The process runs on paper and memory. The good news is that the gains from here are the largest available to anyone — and the bad news is that they do not come from software alone.
10–17Spreadsheet and email
This is the most common band and the most expensive one to sit in. The process works, which is exactly why it persists — but it works through people remembering to chase, and that cost is invisible until someone leaves.
18–24Partly systematised
The core of the process is in a system and the edges are not. The remaining cost is usually concentrated in the handoffs — the points where work moves between a system and a person, or between two systems that do not speak.
25–30Systematised
The process is genuinely digitised. Further gains come from optimisation and from applying intelligence to specific decisions inside it — not from replacing what already works.
